Six months ago I used Claude Cowork to clear around 47,000 emails out of my inbox. It worked. But there was one giant problem.
Cowork only runs while your computer is on. The second you close your laptop, your inbox stops getting managed.

That also matters for privacy. If you have sensitive files on your desktop, Grok Bot never touches them. It works inside its own dedicated machine.

I still run a lot of my email work through Claude Code, because that’s where my agents are trained. But for an owner who wants set-and-forget inbox maintenance, Grok Bot is the easier system.
What Do You Need to Set Up Grok Bot?
Setting up Grok Bot takes 2 components: the Grok Bot app and the AI chat assistant that already knows you.
1. The Grok Bot app. Download it for Mac or Windows. There’s a free trial, and you can realistically run on about $20 a month. Start with one bot, not a whole team.
2. Claude or ChatGPT. Whichever one is your daily driver already knows a ton about you. You’ll use it to write your bot’s voice and brief, so you’re not starting from zero.
Once the app is installed, open the Marketplace and click add on Gmail. Authenticate your account and you’re connected. Google Calendar and Slack live there too.
How Do You Build the Email Bot’s Voice?
The bot’s voice comes from the assistant that already knows how you write. You ask it to package that knowledge into files Grok Bot can read.
Here’s the prompt I used in Claude Code: I want to build an email management bot inside of Grok Bot, and I want you to create markdown files with my voice. I told it the inbox the bot is for and asked for one overall document I could hand over.
If your ChatGPT or Claude doesn’t have files on you, ask it directly: do you know how I speak? If so, create copy and paste text I can give Grok Bot to teach it how I write emails.
Then in Grok Bot, click plus, create a new bot, and just chat with it. Paste or attach the files and let the bot fill in its own name and details. Mine is called Fred. My main inbox bot is Vegeta.
How Do You Build a Gmail Label System by Talking to It?
A Gmail label system gets built by describing your categories to the bot in plain English, with examples. This front-end conversation is the most important step in the whole setup.
I pointed Fred at a throwaway inbox with 745 threads and zero labels. Then I talked through what I wanted. Leads. Support requests. Community updates. For my Skool emails, the prompt was simple: I want a label for Skool, and anything about my community should be filtered into it. Create the filter strategically for me.
Give real examples. If your leads come in through a form or referrals, show the bot 2 or 3 of them and tell it to find everything similar. Your agent prioritizes whatever you train it on, which is exactly how my Business Opportunities label catches anything that says collaboration or sponsorship.
What Happens When the Gmail Connector Can’t Create Filters?
When the Gmail connector can’t create filters, you switch the bot to browser automation on its own screen. Connectors can create labels, but filters were the part that stalled, just like they did in my Cowork build.
So I logged Fred into the inbox on its own computer and told it: use your screen to build the filters for each label, and look at previous emails through the Gmail connector for keyword context.
Then I taught it the path once. Settings, see all settings, filters, create new filter. After that one demo, I said: I just showed you how to find the filters. Now do it for every label you created. It went through all of them.
This is how the bot gets smarter over time. You watch it run for a week, catch what it gets wrong, and revise. Otherwise it keeps repeating the same mistake.
What Does the Daily Routine Look Like?
The daily routine is a morning sweep that checks new email, drafts replies and sends you a brief. Mine puts money and people first.
After the filters landed, Fred started cleaning up the backlog. The inbox had 289 unread emails. Mid-cleanup it was down to 178 and still dropping. Old backlog takes a while. The real win is ongoing maintenance, so the inbox never bloats again.
Here’s what the brief covers:
- What needs me today, the emails worth a reply
- Money, anything financial or banking related
- Drafts waiting, replies ready for my review
- Filed, what got sorted into labels
- Flags, anything unusual
Then I added 2 upgrades. I connected Google Calendar so the brief includes my day, and I connected Slack so the 7 AM brief lands in a private daily-brief channel. If your team needs to see it, that’s where it goes.
My advice on sending: have the bot draft everything and let you send, at least for the first week. Once you trust its judgment, you can loosen that.
